Graduation Photography Policies

Thank you for choosing Alexus B Photography to capture your graduation session. This is a significant and unforgettable milestone, often a once-in-a-lifetime opportunity. To ensure a seamless and enjoyable experience, we've established specific policies for our graduates. These guidelines help us align expectations and deliver the best possible service for you.

Please note that sessions are priced for one person. If you would like to shoot with a friend, there will be an additional fee of $75 per person per location. This fee does not apply to family members who join for a picture at one location or at the end of the session, nor does it include pets.

1. Booking and Fees

1.1. Booking Process

  • Deposit: A non-refundable deposit of $100 is required to secure the booking. This deposit will be applied toward the remaining balance of the total session fee.

  • Confirmation: Your booking is confirmed upon receipt of the deposit and a signed agreement. You will receive an email confirmation detailing your session's date and time.

1.2. Pricing

  • Packages: Details about the available packages can be found on the booking page.

  • Additional Fees:

    • Travel Fees: A travel fee of $75 applies for locations outside of Greensboro, NC.

1.3. Multi-Day Sessions

  • Fee for Multi-Day Sessions: If you wish to split your session into multiple days, a fee of $100 applies for each additional day, with a maximum of up to 3 days.

  • Scheduling: You must email the photographer with proposed date(s) for the additional sessions.

  • Original Date: The initially booked date is the locked-in session date. Additional session dates must be coordinated based on both parties' schedules.

  • Confirmation of Additional Dates: Do not book any appointments or make commitments for the proposed additional dates until these are confirmed by the photographer.

2. Session Details

2.1. Duration and Location

  • Session Duration:

    • Standard Session: Each graduation session has a pre-set duration, which will automatically populate after your deposit has been submitted.

    • Confirmation: You will receive a confirmation email with your session's date and time.

    • Multi-Day Session: For sessions split into multiple days, an hour will be allocated per outfit to accommodate location changes.

  • Location:

    • Client’s Campus: Sessions will primarily take place on the client’s campus.

    • Client’s Choice: Alternatively, sessions can be held at a location of your choice, subject to venue approval, which must be arranged by you.

    • Studio: Sessions can also be held at the studio.

    • Inclement Weather:

      • Rescheduling: Sessions will be rescheduled in case of inclement weather.

      • Indoor Option: Alternatively, sessions can be moved to an indoor location on the client’s campus.

      • During Session: If rain begins during the session, we will either complete it where we are or move to an indoor campus location.

      • Studio Option: Last-minute switches to the studio may not be possible due to prior bookings. However, if you notify us in advance about expected inclement weather, we can attempt to switch to the studio or reschedule, to avoid wasting a deposit on makeup/hair for the day.

2.2. Time Management

  • Punctuality:

    • Client Responsibility: You must arrive on time. Late arrivals may reduce session time.

    • Photographer Responsibility: If the photographer is late, the session time may be extended only if you require that accommodation.

    • Context: Occasionally, prior sessions may cause delays despite built-in padding time. If we can complete your looks within the remaining time frame, we will do so.

    • Billing: We charge by the number of outfits, not by time. During busy graduation seasons, we aim to keep on schedule and may not always extend time if unnecessary for completing the session.

  • Overtime: Additional time will be charged at $2 per minute.

2.3. Attire and Props

  • Outfit Changes:

    • Allowance: Our packages accommodate up to 3 outfit changes.

    • Location: We do not allow multiple outfits per location. The session time is set for one look per location.

    • Single Location: If you book a 2-outfit package but prefer to use a single location, you may change outfits at that location without a reduction in rates.

  • Props:

    • Client Props: You are welcome to bring personal props. 

    • No confetti is allowed in the studio at this time or popped champagne. 

    • Photographer Props: The photographer provides optional add-on props such as smoke, flowers, champagne, etc. These can be selected in advance for an additional fee, or the client may provide their own. 

3. Cancellation and Rescheduling

3.1. Client Cancellation

  • Notice Period: Same-day cancellations will result in a charge of 50% of the session price in addition to the non-refundable deposit. Clients with declined or locked cards will be blocked from booking future appointments until the balance is paid.

    • Emergencies: In case of an emergency, please email the photographer to discuss accommodations. This policy also applies to no-call, no-show situations.

  • Refunds: Deposits are non-refundable. No refunds will be issued once the session is performed and proofs have been delivered.

3.2. Photographer Cancellation

  • Substitute Photographer: In case of an emergency, a substitute photographer will be provided or the session will be rescheduled.

3.3. Rescheduling

  • Notice Period: You may reschedule your session via the website up to 3 days prior to the session.

  • Fee: The first reschedule online is free. Any additional reschedules will incur a fee of $25 per reschedule.

4. Image Delivery and Usage

4.1. Image Processing

  • Editing: Each graduation session includes a set of retouched images along with the entire gallery. Additional edits can be requested at a rate of $25 per image.

  • Turnaround Time: The image processing can take up to 2 weeks (14 days) to complete. During busy graduation seasons, processing times may vary slightly. If it has been more than 14 days, please email us to check the status.

4.2. Delivery Format

  • Digital Copies: Images will be provided via Pixieset.

4.3. Usage Rights

  • Client Rights: You receive rights for personal use. Commercial use requires additional licensing.

  • Photographer Rights: The photographer retains copyright and may use images for portfolio and marketing purposes.

5. Conduct and Safety

5.1. Client Conduct

  • Behavior: You and your guests, including friends and family, must behave respectfully. We welcome friends and family to assist with hair and makeup, and offer subtle suggestions for posing. However, they should refrain from excessive input that might overwhelm you or disrupt the session’s flow. Please plan your desired locations in advance to ensure we stay on schedule and provide the best experience.

  • Damage: You are responsible for any damage to equipment caused by you or your guests.

5.2. Health and Safety

  • Weather Policy: Sessions may be rescheduled due to extreme weather conditions.

6. Dispute Resolution

6.1. Issues

  • Reporting: You must report any issues within 48 hours of receiving the images.

  • Resolution: The photographer will work to resolve disputes amicably. We want you to be happy with your images.
